Terms of Service

Last updated: 4 September 2026

1. About these Terms

These Terms of Service govern your access to and use of SubStatus, including our website, application and related services.

By creating an account or using SubStatus, you agree to these Terms. If you use SubStatus on behalf of a business or other organisation, you confirm that you have authority to accept these Terms on its behalf.

2. The SubStatus service

SubStatus provides tools designed to help businesses organise and monitor subcontractor compliance information, including required documents, document submissions, expiry dates, document requests and reminders.

SubStatus is a management tool. It does not provide legal, regulatory, insurance, employment, workplace health and safety or professional compliance advice.

3. Your responsibilities

You are responsible for:

  • providing accurate account and business information;
  • keeping your account credentials secure;
  • deciding which compliance requirements apply to your subcontractors;
  • checking that documents and information submitted to you are genuine, accurate, sufficient and appropriate;
  • ensuring that your collection and use of subcontractor information is lawful;
  • obtaining any permissions, notices or consents required for information you provide to SubStatus; and
  • complying with laws and regulatory obligations applicable to your business.

4. Compliance status and reminders

Compliance statuses, expiry warnings and reminders generated by SubStatus are based on information entered or uploaded to the service.

You remain responsible for independently determining whether a subcontractor satisfies the legal, contractual or regulatory requirements that apply to your business.

Automated reminders are provided as an administrative aid. SubStatus does not guarantee that every notification will be delivered or received, and you should not rely on reminders as your sole means of meeting a legal or compliance deadline.

5. Accounts and security

You must provide accurate information when creating an account and take reasonable steps to prevent unauthorised access.

You are responsible for activity occurring through your account unless that activity results from circumstances for which you are not legally responsible.

6. Acceptable use

You must not use SubStatus to:

  • break any applicable law;
  • upload information you have no right to use;
  • infringe another person's rights;
  • upload malicious code or interfere with the operation or security of the service;
  • attempt to gain unauthorised access to another account, system or data;
  • misuse document request links, email functionality or automated reminders; or
  • use SubStatus in a fraudulent, abusive or misleading manner.

7. Your data and documents

You retain your rights in information and documents you provide to SubStatus.

You give us the permissions reasonably necessary to host, process, store, transmit and display that information for the purpose of providing, securing and maintaining the service.

Our handling of personal information is further described in our Privacy Policy.

8. Free trial, subscriptions and billing

SubStatus offers a 14-day free trial without requiring a credit card. When the trial ends, access to the service may be restricted unless you choose to purchase a paid subscription.

The current subscription price is A$39 per month, charged in Australian dollars through Stripe. Paid subscriptions renew automatically each month until cancelled.

You can manage or cancel your subscription from the Settings page in your SubStatus account. Cancellation normally takes effect at the end of the current paid billing period, and you may continue using the service until that date.

If a recurring payment fails, Stripe may retry the payment and ask you to update your payment method. Access may be restricted or the subscription may be cancelled if payment remains unsuccessful.

Payments are non-refundable except where a refund is required by applicable law. We may change our pricing or plans in the future. Changes affecting an existing paid subscription will be communicated as required by applicable law.

9. Availability and changes

We aim to keep SubStatus available and reliable, but we do not promise uninterrupted or error-free operation.

We may maintain, update, improve or modify features of the service. Where a material change affects your rights or use of the service, we will provide notice where reasonably appropriate or legally required.

10. Intellectual property

SubStatus and its software, branding, design and original content are owned by or licensed to the operator of SubStatus and are protected by applicable intellectual property laws.

These Terms do not transfer ownership of SubStatus or its intellectual property to you.

11. Suspension and termination

You may stop using SubStatus at any time.

We may restrict or suspend access where reasonably necessary to protect the service or other users, investigate misuse, comply with law, respond to a material breach of these Terms, or where subscription payments remain unsuccessful.

12. Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.

13. Liability

To the maximum extent permitted by law, SubStatus is not responsible for decisions made solely on the basis of information, compliance statuses, expiry dates or reminders displayed by the service.

Any exclusion or limitation of liability in these Terms applies only to the extent permitted by law and does not exclude rights or remedies that cannot legally be excluded.

14. Governing law

These Terms are governed by the laws applicable in Queensland, Australia. Subject to any rights you have to bring proceedings elsewhere under applicable law, disputes relating to these Terms are subject to the jurisdiction of the courts of Queensland and applicable Commonwealth courts.

15. Changes to these Terms

We may update these Terms as SubStatus evolves or when legal, operational or commercial requirements change. The latest version will be published on this page with an updated date.
